Fleet/Workshop Administrator

Job description

Are you a highly organised and detail-oriented individual with a passion for managing fleet operations? We're looking for a Fleet/Workshop Administrator to join council's team and help manage plant, vehicle, and machinery hire processes while supporting a wide range of administrative functions within their fleet management and department workshop.

Key Responsibilities:

  • Manage Plant Hire Charges: Reconcile plant hire charges fortnightly, ensuring accurate records of hours, costs, repairs, and maintenance, working with departments.
  • Create & Update Guidelines: Develop clear guidelines for charging vehicles, plant, and machinery, ensuring all staff are informed.
  • Organise & Manage Meetings: Set up, attend, and document Fleet/IS meetings, confirming agendas, answering questions, and distributing minutes.
  • Track Plant Usage: Monitor vehicle/plant hours, liaise with IT for system updates, and maintain the vehicle register.
  • Vehicle & Plant Management: Oversee hired vehicles, plant, and machinery, including creating plant numbers, managing documentation, and coordinating repairs.
  • Lease & Documentation Support: Assist with creating and managing vehicle leases, ensuring all required documentation is completed and updated.
  • Respond to Enquiries: Handle phone, email, and in-person inquiries related to fleet admin, leases, and permits, ensuring prompt, professional responses.
  • Manage Fines & Toll Notices: Handle vehicle fines and tolls, ensuring details are correct and liaising with relevant staff for timely resolution.
  • Parking & Security Management: Update and manage parking permits, gate fobs, and GPS systems, maintaining accurate records and smooth operations.
  • Repairs & Maintenance: Organise repair quotes and manage depot work, ensuring standards are met and invoices are paid on time.
  • System Support: Work with Ausfleet and Bookable systems, liaising with support teams to optimise for ease of use and efficiency.
  • Records Management: Keep CM9 records organised and up-to-date for easy access and retrieval.
  • Customer Service Excellence: Maintain a positive, professional attitude when interacting with suppliers, staff, and clients.

What We're Looking For:

  • Strong organisational and multitasking abilities
  • Experience with fleet, vehicle, or plant management is a plus
  • Proficiency with systems such as Ausfleet, Bookable, and Authority (or willingness to learn)
  • Excellent communication skills, both written and verbal
  • Ability to manage multiple priorities and meet deadlines
  • Detail-oriented, with a proactive and solution-oriented mindset
  • A positive, friendly, and professional approach when dealing with internal teams and external suppliers
