Administration Assistant - Infrastructure Team (Council)

Are you looking for a foot-in-the-door with your local council?

We are seeking a highly organised and detail-oriented individual to join our team in an integral administrative role. This position will support our engineering team with a variety of tasks, including invoice processing, financial tracking, document management, and meeting coordination.

If you don't have LOTS of experience, don't fret! This role is highly trainable. We are looking for the RIGHT fit for the team.

What is the day-to-day?

  • Raise POs and process invoices, ensuring accuracy and timely payments.
  • Coordinate approvals with Project Managers and resolve invoice variances with Finance.
  • Assist in tracking project costs and maintaining financial records.
  • Manage document filing in ECM/SharePoint and support document retrieval for Project Managers.
  • Attend meetings, take minutes, and document key discussions.
  • Manage contract variations, update procedures, and provide administrative support to Project Managers.
  • Maintain clear communication with all stakeholders.

  • Strong communicator with the ability to connect across teams.
  • Skilled at managing multiple tasks with ease.
  • Collaborative team player.
  • Solid understanding of financial systems, job numbers, and cost tracking (Desirable)
